Guide for Exhibition

    1. Definitions of terms
  • A."Exhibitor" refers to company, association or group that has submitted the required form(application form, registration form , business license , exhibit catalog , receipt of fee payment ) and paid the 50% of fee for participation in this expo
  • B.“expo" refers to “20th Busan international food expo”
  • C."Organizer" refers to “Korea Foodservice Industry Association.”

    2. Application for participation
  • A.All applications for participation shall be registered by email also available through online registration.
  • B.The contract shall be established when the exhibitor registers the contract and pays the 50% of participation fee of the space. The organizers, however, reserve the right to refuse the acceptance of an application in the event sufficient space is not available.
  • C.The organizer must be notified immediately of any changes to the application form of exhibitors. Exhibitors will be responsible for any disadvantage arising from a failure to notify.

    3. Assignment of Exhibition Booth
  • A.Organizer has all rights to the booth assignment and Exhibitor may not object to the decision made. According to application and payment order, booth will be assigned considering country, item, size, exhibition results and other reasonable matters.
  • B.The organizer may change the allocated booth location in case the organizer acknowledges the necessity considering spacing harmony, viewing efficiency and exhibition effectiveness. Such change is under discretion of the organizer, and the exhibitor shall not object on the decision.
  • C.Under no circumstances may the exhibitor resell, transfer rights to, or enter into a mutual agreement to change assigned booth(s) with another party, without the prior approval of the organizers.

    4. Exhibition Management
  • A.Exhibitors shall display the items listed in the application and have someone to take care of the booth at all times.
  • B.If the Exhibitor displays items not listed in the application or if displayed item does not fit the nature of the exhibition or conducts direct sales without approval from the Organizer, Organizer can request to stop, withdrawal or dismantle. This case, participation fee is not refundable and Exhibitor may not ask for compensation.
  • C.Organizer may prohibit certain people from the exhibition, if necessary.
  • D.Modifications including decorations such as painting of floors, ceilings and/or pillars will not be permitted, and exhibitors doing so shall be held liable to compensate the Organizers for consequent damages to the exhibition hall.
  • E.The organizers shall reserve the right to partly exclude or restrict the exhibit or exhibitor’s activity for the maintenance of order, safety, and prevention against acts that may cause social censure.

    5. Payment
  • A.After submitting application, the exhibitor shall make an initial payment of 50% of the total participation fee and the balance shall be made the deadline. In the case of submitting the application after deadline, 100% of the participation fee shall be paid right after receiving the approval of the organizer.
  • B.In the event of Exhibitor not making the balance payment within the designated deadline, the organizers reserve the right to cancel the contract.

    6. Termination of the Agreement (Exhibition Cancellation) and Penalty
  • A.Exhibitors wishing to cancel the allocated exhibition space entirely or partly should contact the organizers by written notice immediately.
  • B.After the registration is submitted , the fee of cancellation and reduction of booths must be paid to organizer within 15 days.
    • Cancellation occurs Prior to July 7, 2023 : pays 50% of participation fee, 25% of reduction as penalty fee
    • Cancellation occurs from July 7, 2023 until July 21, 2023 : 60% of participation fee , 40% of reduction
    • Cancellation occurs after July 21, 2023 : 80% of participation fee, 55% of reduction
    • Cancellation occurs after August 11, 2023 : 100% of participation fee
  • C.There is no interest for refund.
  • D.This penalty does not include VAT, and no tax invoice will be issued.
  • E.In the event of the cancellation of the exhibition by the organizers, the participation fee paid will be refunded.
  • F.The organizers reserve the right to change the venue and duration of the exhibition if exceptional circumstances demand. In this case, the fee paid will not be refunded and the exhibitor shall have no claim for the compensation as a result of the changes.

    7. Cancellation of Exhibition or Alteration
  • In the event of the cancellation of the exhibition by the organizers, the participation fee paid will be refunded. But if the cancellation was caused by force majeure, the fee will not be refunded. The organizers reserve the right to change the venue and duration of the exhibition if exceptional circumstances demand. In this case, the fee paid will not be refunded and the exhibitor shall have no claim for the compensation as a result of the changes.

    8. Display of items
  • Exhibitors shall complete installment, entrance and display of the item within the designated date.

    9. MOVEMENT OF EXHIBITS AND STAND FITTINGS
  • Exhibitors shall remove all exhibits and stand fittings from the exhibition hall within the period stipulated by the organizers and indemnify the organizers against any costs incurred by reason of delay or damage to the exhibition hall.

    10. Security and Safety
  • A.Organizer shall take proper action to secure safety for the Exhibitor and visitors.
  • B.Exhibitors are fully liable for any damages or loss occurred during the exhibition preparation period, exhibition period and dismantling period.
  • C.If Exhibitors intently caused fire, damage, loss or other accidents causing loss to Organizer or any 3rd party, Exhibitors are fully liable for the cause and insurance regarding all materials and items.

    11. Fire Safety
  • A.All materials and items must be fire resistant according to the safety regulations.
  • B.Organizer may ask for modification regarding fire prevention to the Exhibitors if necessary.

    12. SUPPLEMENTARY CLAUSES
  • The Organizer have the rights to modify at any time the provisions of the present Rules & Regulation and the Exhibitors must comply with the regulations of organizer and the exhibition halls of the BEXCO.

    13. ARBITRATION OF DISPUTES
  • In any disputes that may arise concerning interpretation of the present Rules & Regulations, the Exhibitor agree to the competence of the Commercial Arbitration Rules of the Korean Commercial Arbitration Board and shall not bring a law-suit against the ruling.
